Price the job and watch the quotation build, in any of the seven designs IQ Books uses. Set how long the price stands, add VAT if you are registered, then save it as a PDF or download a Word file. No sign-up.
Nothing you type is sent to us. The quote is made in your browser, and your draft is kept in this browser only.

What IQ Books does once they say yes
This template makes the quote. IQ Books tracks the answer, turns it into an invoice and gets it paid, and nearly all of it is on the free plan.
01
Quotes that turn into invoices
Raise the quote, then mark it accepted, declined or expired. An accepted quote becomes an invoice in one click, with every line carried across, so nothing is typed twice and nothing goes missing between the two.
- Accept, decline or let a quote expire, with the status kept
- Convert an accepted quote to an invoice in one click
- The same seven designs for quotes and invoices

02
Share a link. Get paid by card or bank.
When a quote is accepted, ask for a deposit on the invoice that follows. The customer pays it from the invoice’s own pay page, by card through your Stripe account or by bank transfer, and IQ Books tracks what is still owed.
- Deposits as a percentage or a fixed amount
- The balance stays on the invoice until it is paid
- Hosted pay page and scan-to-pay QR code
- Card payments through your own Stripe account (Stripe’s fees apply)

03
Your house style, set once
The seven designs on this page are IQ Books’ own invoice templates. In IQ Books you pick one as your house style, choose a colour and paper, and every invoice, quote and credit note follows it, on paper, on screen and on the pay page.
- Seven designs, eight colours, white or cream paper
- Logo Studio: design a logo inside IQ Books, with shapes, symbols, text and layers, or upload your own
- Text in your logo is outlined, so it prints exactly as designed

04
Know when it is opened, paid and in the books
See when an invoice has been opened and when it has been paid. The payment lands in your books against the invoice and matches the bank line it came in on, so there is nothing to reconcile by hand.
- Opened and paid, at a glance
- Payments matched to the bank line they arrived on
- Customer statements and aged debtors that stay right

05
On your phone, or just say it
IQ Books works in your phone’s browser today, and the IQ Books app, coming soon to the App Store and Google Play, raises invoices and quotes with the pay link and QR code ready to show the customer. Or ask RiQ, the assistant built into IQ Books, to raise one by voice.
- Invoices and quotes from the phone, in any currency
- Show the QR code to be paid on the spot
- RiQ voice: “Invoice Nidd Valley Farms for two days at £450” (voice commands use credits)

06
Email it, and let reminders chase it
On a paid plan, invoices and quotes go straight from IQ Books to your customer’s inbox, and automatic reminders follow up on a schedule you set. They stop on their own when the invoice is paid.
- Email invoices, quotes and statements from the app
- Automatic payment reminders before and after the due date
- Paid plans start at £5 a month and include credits for automation

Everything above, free
One organisation with the whole IQ Books ledger: invoices, quotes and credit notes in all seven designs, Logo Studio, pay pages and QR codes, card payments through your own Stripe account, deposits, recurring invoices and subscriptions, customers and suppliers, bank, VAT returns and Making Tax Digital filing. Typing and coding by hand is always free; automation such as reading receipts and coding bank lines draws on 1,000 free credits.
Add email and reminders
Emailing invoices from the app and automatic payment reminders come with every paid plan, from £5 a month. Paid plans also carry monthly credits for the automation, so the bookkeeping keeps doing itself.
Guide
What a good quote should say
Unlike an invoice, a quote has no fixed legal format. Its job is to stop arguments later, so the useful ones are specific about the price, what it covers and how long it stands.
What to put on a quote
- Your business name, address and contact details, and the customer’s
- A quote number and the date you issued it
- A clear description of the work or goods, with quantities and prices
- Whether the prices include VAT, if you are VAT registered
- How long the price stands (the “valid until” date)
- Your terms: a deposit, when you will invoice, and anything not included
Quote or estimate?
In everyday trade use, a quote is a fixed price for a defined job and an estimate is a best guess that can change. If the price might move, say so and say why, or call it an estimate.
Quote or invoice?
A quote offers a price before the work. An invoice asks for payment after it. When the customer accepts, raise an invoice for the agreed amount, and keep the quote number on it so both sides can match them up.
VAT on quotes
If you are VAT registered, make it obvious whether your prices include VAT; for consumers, prices are usually shown including it. If you send a pro-forma invoice to ask for payment before you supply anything, HMRC says it cannot be used to reclaim VAT and should be marked “this is not a VAT invoice”. Issue a proper VAT invoice once you supply the goods or service or receive payment.

Questions
Frequently asked
About this template, and what IQ Books does with your quotes.
Is this quote template free?
Yes. It is free with no sign-up and no limit on how many quotes you make. Save each one as a PDF with your browser’s Save as PDF, download a Word document, or print it.
What is the difference between a quote and an invoice?
A quote offers a price before you do the work. An invoice asks for payment after you have done it. Once a customer accepts a quote, you send an invoice for the agreed amount.
What is the difference between a quote and an estimate?
In everyday trade use, a quote is a fixed price for a defined job, while an estimate is a best guess that can change. If your price might move, say so on the document or call it an estimate.
How long should a quote be valid for?
As long as you are happy to hold the price. Thirty days is common, shorter if your costs move quickly. The template sets a valid until date that you can change.
Should a quote include VAT?
Only if you are VAT registered. If you are, say clearly whether the prices include VAT. If you are not registered, do not add VAT at all.
Is anything I type stored or sent anywhere?
No. The quote is built in your browser and nothing is sent to us. Your draft is kept in this browser only, so a refresh does not lose it, and Clear form removes it.
Can a quote turn into an invoice?
In IQ Books, yes. Mark a quote accepted, declined or expired, and convert an accepted quote into an invoice in one click, with every line carried across. That is on the free plan.
Is IQ Books free?
Yes, there is a free plan. It gives one organisation the whole IQ Books ledger, including quotes and invoicing, customers and suppliers, bank, VAT returns and Making Tax Digital filing. Paid plans add emailing quotes, invoices and reminders from the app, plus monthly credits for automation.
Quote it. Win it. Invoice it.
