How to Convert an RBS PDF Bank Statement to CSV or Excel

RBS gives you more of your own data than most UK banks. The gaps are narrow, but they are exactly where bookkeepers end up working.

RBS exports more than most, with two catches

Royal Bank of Scotland runs on the same Digital Banking platform as NatWest and Ulster Bank, and it is one of the more generous UK banks with your own data. From Statements & transactions, then View transactions, you can search up to seven years of history and export what you find to Excel or PDF.

So for a current account the honest answer is that you may not need a converter at all. Two situations change that.

The card limit: RBS credit card transactions can be viewed and exported to Excel three months at a time. A year of card spending for the accounts means four exports and a merge, or twelve PDF statements converted in one batch.

The second is simpler. The file you have is often not the one the bank could give you. Lenders, letting agents, HMRC enquiries and new accountants all ask for statements, and statements are PDFs. If a client has sent you a year of RBS PDFs, asking them to log in and export it again is slower than converting what is already in your inbox.

Quick answer: RBS Digital Banking exports current account transactions to Excel or PDF, with up to seven years of history. Credit card transactions export three months at a time. For card statements, statements a client has already sent you as PDFs, or accounts you cannot log in to, convert the PDF statements instead.

When the PDF is the better source

Seven years of searchable history covers what HMRC expects for a current account. The converter earns its place in three narrower cases:

HMRC sets the floor for how long the records have to survive. A sole trader keeps them for at least five years after the 31 January filing deadline for the tax year, so a year's records can need keeping for nearly seven years. A limited company keeps them for six years from the end of the financial year they relate to. For an RBS current account the online history reaches that far. It is the card statements and the PDFs in someone's inbox that need converting.

Always check the balances: every RBS statement prints an opening and a closing balance. If the converted rows carry you from one to the other, nothing was missed. It takes ten seconds and it is the only real proof of completeness, from any tool, including this one.

What comes out

RBS prints money paid out and money paid in as separate columns. The converter turns them into one correctly signed amount, keeps the running balance in its own column so it never gets summed by accident, and rejoins descriptions that wrap onto a second line. Dates come out in one consistent order, so a spreadsheet set to US settings cannot read 03/04 as 4 March.

How far back can I get RBS statements?
